Why suspense accounts keep surviving every closing
Suspense accounts are useful when a posting arrives before the supporting voucher. They become a problem when the same lines roll forward for two or three closings without a named owner.
In regional finance offices we visit, suspense growth often traces to inter-office transfers posted on only one side, or to freight accruals waiting on a branch clerk who has already moved desks. A validation sample that simply lists the largest balances rarely helps. The useful sample asks who last touched the line and which counterpart office should confirm it.
Before your next close, print the suspense trial balance, sort by age, and assign each line older than thirty days to a person—not a department. During ledger validation we treat unowned aged items as open findings even when the net amount looks small, because head-office reviewers usually ask about age first.
