Field notes
What belongs in a ledger validation memo
A validation memo is not a full audit opinion. It should still be specific enough that a head-office reviewer can see what was tested and what remains open.
We structure memos with four blocks: scope (offices, period, segments), procedures performed, exceptions with amounts, and a short statement of residual risk. Screenshots belong in an appendix only when they clarify a single exception—not as a substitute for narrative.
Controllers sometimes ask us to soften language around open items. We keep the residual section factual. Accepting a pack with one disclosed open credit note is usually faster than pretending the binder is clean and inviting another rejection cycle.
